Missing appointments even with reminders on

The reminder was on, and the appointment still slipped past. Usually the cause is how the reminder arrives: as a notification, quietly, among others. Here are five common causes on iPhone and iPad and what helps against each.

1. The device was on silent or a Focus was on

The calendar reminder is a notification. In Silent mode it arrives without a sound, and in a Focus it may not come through at all, depending on the settings. In meetings, at the cinema or while working in a Focus, this is the most common case.

What helps: An alarm. Alarms are exempt from Silent mode and Focus. More in the post Why calendar reminders don't wake you.

2. The reminder came, and you swiped it away

A notification is done after one glance. "In five minutes: client call" read, back to the email, and ten minutes later the appointment is over.

What helps: Something that keeps going until you respond. An alarm rings until you stop it.

3. The appointment was moved

Setting an alarm by hand for important appointments brings a second problem: when the appointment moves to 14:30, the alarm still rings at 13:55.

What helps: An alarm that comes from the calendar and follows it.

4. The appointment is in a calendar iOS does not know

Many people use their calendar service's own app, such as Google's or Microsoft's, and never added the account in iOS Settings. The reminder then depends on that one app and its notification settings.

What helps: Add the account under Settings → Apps → Calendar. Then the calendar is in the iOS Calendar app too, and available to any app you give access to it.

5. Too many reminders

When every appointment rings, the blocker and the weekly meeting included, you get used to the sound. The one important reminder gets lost among the others.

What helps: Fewer, but reliable. Only the appointments where somebody is waiting for you get an alarm, all others stay notifications.
